Most of the phone calls a fiscal agent’s office fields are requests for information that already exists in the system: how much budget is left, when the next payday is, whether a timesheet was approved, where a pay stub is. The portal answers them without anyone picking up.
One portal, four roles
Access is scoped by role, so each user sees what belongs to them and nothing more:
- Consumers and representatives — budget and remaining authorization balance, service history, assigned caregivers, and program documents.
- Employers — timesheets awaiting approval, employees and their rates, payroll history for their FEIN, and enrollment status.
- Employees — time submission and history, pay stubs, year-end tax documents, direct deposit settings, and credential uploads.
- Case managers — utilization and service delivery across their assigned caseload only.
Move timesheet approval online
Employees submit time; employers approve it. Doing that on paper means a fax or a drop-off, a data entry step at your office, and a delay that compresses the payroll window.
Through the portal, submission and approval happen directly, validated against the authorization as they are entered. Where EVV captures the visit, the timesheet is already populated and the employer is confirming rather than transcribing.
Show budget in real time
Consumers and employers see remaining budget as it stands now, including committed but not yet paid amounts. That last detail is what makes the number trustworthy — a balance that ignores the pay period already worked will always overstate what is actually available.
Keep documents where they belong
Uploaded documents attach to the correct record with the correct type: an employee’s credential goes to their employment file, a consumer’s service agreement to their consumer record. Downloads work the same way — pay stubs and tax documents are retrieved directly rather than reissued by staff.
Reduce inbound work
Combined with notifications that push time-sensitive items outward, the portal changes the shape of your inbound volume. Routine lookups stop arriving as calls, which leaves your team on the exceptions that genuinely need a person.
