Almost every expensive problem in fiscal agent operations is a deadline that passed unnoticed: an authorization that expired mid-service, a credential that lapsed while someone kept working, a tax deposit missed by a day. The information was in the system. Nobody was looking at it on the right day.

Alert on the things that carry consequences
- Authorizations — approaching expiry, approaching a budget threshold, exhausted, or tracking well over or under plan.
- Credentials and documents — training, background checks, service agreements, and program forms approaching expiration.
- Tax and filing — deposit due dates per employer, quarterly and annual return deadlines, and unresolved reconciliation variances.
- Service delivery — EVV exceptions awaiting resolution, missing check-outs, timesheets not submitted before a payroll cutoff, and consumers with no service in a defined window.
- Enrollment — employer enrollment steps stalled, incomplete employee onboarding, and expiring eligibility.
Send them to the right people
A budget threshold alert matters to the case manager, the consumer, and your program administrator — but not to the same degree and not necessarily at the same lead time.
Recipients, lead times, and delivery channels are configurable per notification type. Credential expiry can go to the employee at thirty days and to the administrator at seven. Authorization thresholds can fire at seventy-five and ninety percent to different audiences.
Keep them worth reading
Notifications that fire indiscriminately get ignored, and an ignored alert is worse than none because it creates false confidence. ArborSoft keeps volume defensible through configurable thresholds rather than fixed ones, digest delivery that groups related items into one message, suppression once an item has been acknowledged or resolved, and escalation when something stays unresolved past its window.
Log what was sent
Every notification is recorded: what fired, why, to whom, through which channel, and when. When the question later becomes whether anyone was told an authorization was expiring, the log answers it.
Alerts appear in the web portal alongside email delivery, so someone who missed the message still sees it when they next sign in.
