Case managers need current information about the consumers they oversee — how much budget remains, whether services are actually being delivered, whether an authorization is about to expire. Without a way to see it, they call your office. Every one of those calls is staff time spent relaying data that could have been visible.

Assign caseloads explicitly
Each case manager record holds their agency affiliation, contact details, and assigned consumer caseload. Assignment is what drives access: a case manager sees the consumers on their caseload and no others.
Caseloads change constantly as staff turn over and consumers transfer. ArborSoft handles reassignment as a first-class operation — the new case manager gains access, the previous one loses it, and the historical record of who was responsible when is preserved rather than overwritten.
Scope access tightly
Case managers are external users. They work for referring agencies, not for you, and their access must be limited accordingly. ArborSoft restricts them to their assigned consumers and to the specific data their role requires: authorization detail and remaining budget, utilization and spend-down trajectory, service delivery and visit history, and assigned caregivers.
Payroll detail, tax data, and other employers’ information stay out of view. Access is logged — who viewed which record, when — so the question of who saw what has a definite answer.
Surface problems without a phone call
Rather than waiting for someone to check, ArborSoft pushes what matters through notifications: budget crossing a configured threshold, an authorization approaching expiry, a consumer with no service delivery in a defined window, and utilization tracking well under or over plan.
The gap-in-service alert is often the most valuable. A consumer receiving no visits for two weeks is a situation someone should look into, and it is exactly the kind of thing that goes unnoticed when nobody is watching a report.
Give them a usable view
Case manager access runs through the same web portal as consumers, employers, and employees, with a role-appropriate view. Utilization data can be exported for the reporting their own agency requires, without anyone at your office assembling it by hand.
